Press Information


Eligibility


Press passes are issued to individuals representing a recognized news organization, including journalists reporting for online media outlets and freelancers who contribute to such organizations. Individuals involved with public relations, marketing, sales, circulation, advertising, or any other non-editorial function including educational program developers (including CME writers and editors) or other individuals who are not actually reporting on the meeting are not eligible for press passes. Options IX prohibits the development of CME content based on information presented at its meeting. Options IX reserves the right to inspect the credentials of anyone requesting a press pass, and to refuse to issue a press pass. Generally, no more than five representatives per organization are issued credentials. Options IX does not make public any list of press attendees or their affiliations.

Media who produce a communications vehicle that is sponsored by a single organization or whose revenue for the publication or issue of a publication depends solely on coverage of the Options meeting are also ineligible to receive press passes. In addition, media who produce a communications vehicle that uses the Options IX name or logo to imply endorsement from Options IX are also ineligible to receive press passes.

Individuals who receive exhibitor passes are not eligible for press passes.


Access


Credentialed media have access to all general sessions, including plenary, poster discussion, and concurrent sessions. Access to ticketed events with limited enrollment, such as early morning workshops, is restricted to ticket holders only. Options IX reserves the right to restrict attendance at any session. Press attendees are required to check in with the onsite press manager in the designated press room upon arrival. All materials including the program supplement and mini program will be in the press room upon arrival.


Photography/Audio/Visual Taping Restrictions


No photography, videotaping, recording, or filming of any portion of the event is permitted, including sessions, rooms, and exhibit halls, without prior written consent from the Options IX press manager. This includes, but is not limited to, cell phone cameras, digital cameras, film and/or video cameras. Anyone found photographing, taping, recording, or filming without authorization will be required to immediately surrender the film or tape, with no reimbursement, and will be asked to leave the premises for the remainder of the event.


Requests for Interview


If you are interested in conducting an interview with a speaker or presenter, the Options IX press manager is able to assist with coordinating a time for you to meet with the person or persons while onsite during the Options IX meeting. The deadline for submitting requests for interviews is Friday, July 1. Due to the travel schedules of Options IX speakers and presenters, we may not be able to accommodate requests made after July 1, including on-site requests.


Copyright


Reproduction of materials such as abstract data, posters, presentation slides, etc., requires first obtaining permission from the listed author(s) and/or presenter(s) as well as from any individual or group that may hold copyright on the material. Journalists violating copyright restrictions may have their press access denied the in future years. Photography of sessions, trade show booths, event set up, etc. is prohibited; Options IX has a designated staff photographer and can provide event photography for journalists who wish to include photos with their coverage of the event. This can be arranged by contacting the Options IX press manager, Caitlin McWilliams, who will be onsite during the event. 


Use of Options IX Scientific Program Content


Please be aware that the information and materials displayed and/or presented at all sessions of this meeting are the property of Options IX (and/or the presenter) and cannot be photographed, copied, photocopied, transformed to electronic format, reproduced or distributed without the written permission from Options IX (and/or the presenter). Use of the Options IX name and/or logo in any fashion by any commercial entity for any purpose is expressly prohibited without the express written permission of the organization.
